Privacy Policy
How we handle the information you share with us, in plain language. Effective October 2, 2026.
Information we collect
We only collect what we need to arrange your visit and answer your questions:
- When you book: your name, party size, and a mobile number, an email address, or both, plus any notes or inspiration photo you choose to add.
- When you ask about a private party: your name, an email address or mobile number, and the date, guest count, general location, and notes you share.
- When you text or call us: your phone number and the messages you send.
- When you browse this site: usage and device information collected by Google Analytics, as described below.
You don't need an account to book with us, and we don't create one for you.
How we use it
We use your information to schedule and look after your appointment or party, send confirmations, reminders, and updates about it, reply to your questions, and understand how this site is used so we can improve it. We do not sell your information.
Text messages (SMS)
If you give us your mobile number and agree to receive text messages, we'll text you from (706) 534-1823 about your appointments and inquiries: confirmations, reminders, changes, and replies to messages you send us. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
You agree by checking the text message box on our booking or private party form, or by telling us directly. When you agree, we keep a record of your mobile number, the date and time, and the exact wording you agreed to, as proof of your consent.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties. Your phone number is used only for the purposes described in this policy and our Terms of Service.
Who we share it with
We share information only with the service providers who help us run the business, such as the companies that host this site and our booking system, deliver our email and text messages, and provide Google Analytics and Google Calendar, and only so they can provide those services to us. The additional limits on Google Calendar data are explained below. We may also disclose information when the law requires it. None of this sharing includes your text messaging opt-in data or consent.
Google Calendar: access and use
Helen Permanent Jewelry Booking offers an optional Google Calendar connection for staff. Customers do not need to connect a Google account to book. With a staff member's authorization, we read their calendar list (including calendar names, identifiers, time zones, and access roles) so they can select a calendar. Google grants permission to view and edit calendar events; our synchronization uses the selected calendar.
We access events on that calendar to determine availability and keep appointments synchronized. Google may return full event details; our availability processing uses event identifiers, start and end times, cancellation and busy/free status, all-day status, the account holder's declined-attendance status, and booking/synchronization metadata. We do not store unrelated events' titles, descriptions, or attendee lists as part of that availability processing.
When booking-to-Google synchronization is enabled, we create, update, and delete booking events. These contain the customer's name, service, party size when applicable, appointment times, a booking identifier, and a link to our staff dashboard. Customer phone numbers, email addresses, notes, and uploaded photos are not included. People with access to the selected Google calendar may see its booking events according to that calendar's sharing settings.
Google events can block appointment availability. If a staff member enables the option to also move and cancel bookings, eligible changes in Google can reschedule or cancel linked website bookings and trigger customer notifications. Otherwise, changes to linked events are held for staff review. We use Google Calendar data only to provide these scheduling and synchronization features.
Google Calendar: storage, retention, and your controls
Our booking system stores the selected calendar's identifiers and settings, availability records, links between bookings and Google events, synchronization and audit records, and an encrypted authorization token that allows syncing without signing in each time. Data is sent over HTTPS. Access is restricted to authorized staff and service providers operating the booking system, subject to the Google data-use restrictions below; authorization tokens are not displayed to customers.
Connection and synchronization records are retained to operate the integration and support reconnection; they do not automatically expire when you disconnect. There is currently no fixed automatic deletion period for these retained records. You can request deletion using the contact details below. We will delete the requested Google-derived data unless retention is required by law, and explain any such exception. Copies in routine backups remain until those backups expire under their retention schedule.
- Disconnect syncing: use Disconnect on the staff Google Calendar page. This stops syncing and removes external busy-time blocks, but retains the connection record, encrypted token, and booking links. It does not cancel website bookings or delete existing Google events.
- Revoke Google's permission: remove this app's access in your Google Account connections. Revocation prevents further authorized access; it does not by itself delete records already stored by us or events already in Google.
- Request deletion: email hello@helenpermanentjewelry.com to request removal of your retained Google connection and Google-derived data. Separately identify any website booking records you want deleted. Existing events in Google can be managed in Google Calendar.
Google API data: Limited Use
Helen Permanent Jewelry Booking's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not sell Google user data or use or transfer it for advertising, data brokerage, or creditworthiness or lending decisions. Transfers are limited to providing or improving the visible scheduling features with your consent (including necessary hosting and system service providers), security purposes, legal obligations, or a business transfer with your explicit prior consent. These restrictions also apply to data derived from Google data and to our service providers.
We do not permit people to read Google user data except with your affirmative agreement to view specific data, as necessary for security or legal compliance, or when aggregated for internal operations in accordance with applicable law and Google's Limited Use requirements.
Site analytics
We use Google Analytics to understand how this site is used: which pages are viewed, how visitors arrive, general location such as city or region, and device and browser type. It sets cookies to recognize repeat visits. Your booking details, notes, photos, and booking links are never sent to Google Analytics, and we do not use its advertising features. You can opt out with Google's Analytics opt-out browser add-on or by using a browser content blocker configured to block Google Analytics.
How we protect it
This site and our booking system use encrypted (HTTPS) connections, access to booking records is limited to our staff, and each booking's manage link is protected by a private token. No method of storing or sending information is perfectly secure, but we work to keep yours safe.
Your choices
You can ask us at any time to see, correct, or delete the personal information we hold about you.
- To stop text messages, reply STOP to any message from us.
- To stop emails, reply to the email or contact us below.
- To cancel an appointment, use the manage link from your booking or contact us.
We'll act on your request promptly.
Changes to this policy
If we change this policy, we'll post the new version on this page with a new effective date. For significant changes, we'll also note the update on our website. We recommend checking this page from time to time. This policy is always linked in the footer of every page. Before using Google user data for a new purpose or in a way not previously disclosed, we will explain the change and obtain your consent. Posting an update or continued use of the website alone does not authorize that new use.
